Background |

A document management system that provides document workflow from scanning through to electronic intrays and uniquely provides full integration with the GP clinical system allowing documents to be placed within the patient record. The transfer of data handling from paper to computer has progressed steadily over the past twenty years or so. It began with age-sex registers and repeat prescriptions and was soon followed by disease registers. However some aspects of data handling still present practices with a challenge as far as electronic handling is concerned; one such is document management. |

All practices have evolved mechanisms for handling the passage of paper documents through their organisation. Any electronic equivalent has to be flexible enough to replace this without disrupting the smooth working of the practice. |

Most GP systems now provide means of attaching patient-related documents to patient records; however that is all they tend to do. Many GP systems provide little or no means of tracking these documents through the practice; most don’t provide action management arising out of the documents; nor do they give a full range of those functions required once the documents are in the patient record, such as the ability to organise or print all them in a single operation. To address this, many practices have started to use a variety of document management software packages from third parties. |

These have the advantage of providing a full range of document handling facilities: their disadvantage is that they often don´t provide a sufficient level of integration with the practice GP system. This can lead to practices having to duplicate work such as dictionary maintenance, and may also find themselves entering clinical information relating to documents (such as recording a summary diagnosis taken from a discharge letter) separately rather than at the same time as storing documents. |
